Roomcord
Meet to decide. Keep the next move clear.
For project owners and team leads, a useful meeting ends with a recorded decision, an accepted owner and a date. Roomcord’s developing decision-meeting workflow connects the pre-read, live ballot and follow-up in one project room.
How do decision meetings turn discussion into action?
A decision meeting settles named questions with evidence and recommendations. In the Roomcord direction, AI proposes source-linked cards, people confirm the decision and owner, and accepted commitments receive follow-up on the same board. Status is read beforehand; live time is used for unresolved decisions, ideas, blockers or human connection.Choose the purpose before the invitation
Choose a meeting purpose and timebox before sending the invitation. The proposed workflow uses short decision and unblock sessions, allows more time for brainstorming, and keeps Bond sessions focused on human connection.
| Type | Purpose | Proposed length | Finish condition |
|---|---|---|---|
| Decide | Resolve the ballot | 15–25 minutes | Every item approved, changed or reassigned |
| Brainstorm | Explore one open question | Up to 30 minutes | 2–3 options, each with an owner to test |
| Unblock | Clear one red item | 10–15 minutes | New owner/date or an escalation |
| Bond | Culture, praise and celebration | Flexible | Human connection; no decision ballot required |
The proposed decision-meeting schedule
| Checkpoint | Proposed action |
|---|---|
| T-24h | Draft changes, red items and 3–5 recommended decisions |
| T-4h | Owners confirm their own pre-read lines |
| During | Confirm each decision, owner and date |
| Timeout | Move unresolved item to an async ballot due within 24h |
| T+5 min | Post and email source-linked recap; request owner commitment |
Before: resolve what you can asynchronously
At T-24h, the proposed SOP drafts a pre-read from the board: changes, red items and 3–5 decision questions, each with a recommendation. Owners confirm their own lines by T-4h. Each ballot names its approvers and needed-by date. Approved items leave the live agenda; if the whole ballot is resolved early, the intended workflow cancels the decision meeting. Bond sessions are an exception to the ballot requirement.During: confirm the agreement as it happens
Show the ballot rather than a status deck. For each item, the chair records APPROVE, CHANGE or REASSIGN. AI proposes a card linked to the exact source message or recording moment. People check the wording, owner and date before accepting it. Keep a timer per item; the proposed fallback moves an unresolved item to an asynchronous ballot due within 24 hours, with a named approver. A missing answer remains unresolved. After: turn the recap into a commitment
The proposed target is a recap within five minutes, posted in the room and emailed, with decisions, owners, dates and exact recording links. Each new owner receives a one-tap “I commit by this date” request. Until the owner accepts, the proposed assignment remains suggested. Reminders and early change reports update the same board; closure retains the outcome and its evidence. Edits keep their author and history.Illustrative example: a launch-readiness decision
This is a fictional workflow, not a customer result or a screenshot of released functionality. A launch room needs a decision on November 14. Its ballot asks whether to proceed, narrow the release or delay, with readiness evidence and a recommendation. A test result is missing, so readiness stays unknown. The team resolves two of three questions before the call and meets only for the remaining dependency. The team records a narrower release recommendation, conditional on the missing test result. The approver explicitly approves the preparation work; launch authorization remains unresolved. Claire accepts the readiness-summary commitment for November 14, with a first test due within 48 hours. The recap links to the exact agreement; later completion is recorded with test evidence. The useful outcome is one traceable decision and an explicitly accepted next step.Keep people in control
Make recording visible and obtain participant consent. A proposed owner is never silently assigned work. Money above the room limit, legal matters and people decisions require explicit approval. Any agreed silence-as-consent policy must preserve those protected categories; an elapsed deadline is not a substitute for their approval. Use reminders that are firm on ownership and warm to the person.Availability as of October 21, 2026
Rooms, chat, files and meeting capture are the existing Roomcord foundation. Auto-board, approval ballots and automated commitment follow-up are in development. The timing, automatic agenda changes, cancellation and recap delivery above describe the intended SOP, not generally available automation. Agree the supported workflow and recording arrangements for your team before relying on them.Continue from the meeting into the work

Does every gathering need a ballot?
The proposed SOP uses ballots for decision work. A Bond session has no decision to approve, while brainstorming starts with one open question. Match the preparation to the purpose.
Can Roomcord cancel every resolved meeting today?
Automatic cancellation is part of the developing decision workflow. Rooms and meeting capture are the existing foundation; confirm pilot availability before depending on this automation.
